Business Communication Assignment: Significance Of Communication From The Perspective Of An Organization


Task: You are a country manager for an international agricultural products supplier. The main office is in Australia. You have recently hired 10 new employees from overseas (you may choose the home country of the new employees). They will be arriving in Australia within the next six weeks, and in preparation for their arrival you will write a document about communicating competently and incompetently within the Australian workplace. This document has two parts:

1. An overview of academic literature relating to communication practices/styles/recent research about business communication in Australia.

2. Recommendations for these new employees about competent and incompetent business communication practices (you may focus upon verbal, nonverbal, written, and CMC). There will be four recommendations—two competency behaviours and two incompetency behaviours. That is to say, how should the new employees communicate and how they should not communicate within the Australia workplace. You will need to explain why each of the communicative behaviours are competent or incompetent. The recommendations should be supported by existing academic articles.


The study will highlight the significance of communication from the perspective of business communication. It will help in data-mining the literatures that have illustrated the significance of the communication in this context. Apart from this, it will also help in analysing the difference between competent and incompetent communications. Thesis statement: The study will highlight the significance of communication in an organisation. Employees are the pillars that will help the organisation to achieve success with their communication skills which have been specified by several scholars.

Effective communication is the pivotal part business. proper communication within the organisation helps in fostering a good working relationship between the employer and the employee and among the employees. This, in turn, can result in the improvisation of morale and efficiency of the workforce. The study conducted by Coffelt et al. (2016), stated that along with competencies success decision-making, problem-solving, analysing quantitative data and so on, it is essential that the leaders and managers of the organisation should possess communication skills. Other than written skills, oral skills are also necessary to be inculcated by the employees of an organisation. oral skills comprise of numerous traits, attributes as well as qualities. this includes public speaking, negotiating a contract and leading meetings. In a study conducted by Keyton et al. (2013), the researchers retrieved more than 300 verbal communication behaviours with the help of organisational communication textbooks as well as publications. out of this huge number, only 43 verbal communication behaviour were observed or heard by lesson 50% of the employees. Similarly, written skills are also associated with several attributes. In a business organisation, the formal communication is done with the help of the Emails. therefore, it is crucial that the employees of an organisation should delve the tendency to communicate perfectly irrespective of the mode of communication.

The study also illustrated that a person's ability to communicate is reflected by the range of his communication skills along with the quality associated with it. in the presence of effective communication, and organisation will experience augmented understanding and witness satisfying relationships. In a business, every aspect of its operations is influenced by the communication process. Therefore, it plays a vital role in the decision making process. a successful organisation repressions effective communication not only internally but also externally with other companies and clients.

The process of communication within the organisation is affected by several factors. this includes the culture of the organisation, values, the availability of resources and the power relationships (Jardat and Sy, 2012). On the other hand, the level of interaction that would take place among the members of the organisation is largely affected by the structuring of channels of communication. arrange of communication activities take place in every organisation. this includes gathering, recording as well as conveying pieces of information. this is followed by providing instructions and the participation of the employees in group works. However, it is essential that for conductance of proper activities, a business organisation should have adequate communication networks. this will help in effective transfer of messages between the diverse levels. As mentioned by, communication leads an organisation to become a cooperative system that is dynamically active. In addition to this, it helps in aligning the organisational purpose with the employees of the organisation. Henceforth, in the complexity of the world the key to organisational success is effective communication. Communication within an organisation can be pursued with the aid of both human elements and technological components. with the help of Machines and internet it is possible for an organisation to communicate to a wide range of people at an instant. this has helped the organisation in delving the ways to promote the products and services across the borders. Moreover, with the combination of the human and technological factors, it has been possible for the organisations to deliberately deal with several problems without wasting much time. Thus, the essential and ample amout of time can be provided to deal with other problems

In addition to this, it also contributes significantly in enhancing the internal relationship as well as inculcating Awareness of environmental alteration. As evidenced by the study of Adam & Kartikawangi (2018), effective communication within an organisation please a crucial role in building organisational commitment along with achieving superior business outcomes. It also influences corporate reputation, knowledge sharing, gaining trust, instilling a sense of belongingness, creating awareness and engaging employees. studies have revealed that employees are the most important stakeholder who can either influence the corporate reputation or may act as ambassadors of the brand. Therefore, internal communication is viewed as the process of management of strategic relationships as well as interactions that impact the organisational effectiveness. It also helps in proper distribution of the information among the diverse level of hierarchy within the organisation. Moreover, as per the knowledge of Cornelissen (2011), communication is the way to connect and employ emotionally to the products and the services that the organisation intends to sell to the consumers. A team leader was the potentialities to communicate efficiently plays a vital role in motivating the employees to work harder and stay loyal to the organisation. The study done by Veri, Veri & Sriramesh (2012), revealed that internal communication helps in educating the employees regarding the brand. It also helps in reinforcing the psychological contract between an organisation and its employees. Although, internal communication is considered to be a management function which is involved in handling intra-organisational interactions by integrating different functions like human resource management, communication along with marketing. In the present era, when communication has become very important from the perspective of business around the globe, various ongoing changes are taking place within the work area. Employees who are disengaged demand more open communication with the managers. This, in turn, makes internal communication an important subject. The significance of internal communication is well-described in the study conducted by Muszynska et al. (2015). The study states that modern organisations tend to carry out their business purposes using project-based approaches. This demands the realisation of project and appropriate management. communication management is one of the vital parts of project management in business organisations. Effective communication management especially within virtual project teams has been found to be of paramount importance (Pitts, Wright & Harkabus, 2012).

In addition to this, it also helps in connecting every member of the project team that enables them to work together and achieve the objectives of the project. However, it is crucial to execute the communication management properly to achieve the desired results. According to the study done by Xiao et al., (2014), project communication management helps in ensuring timely as well as appropriate generation, gathering, dissemination, storing and disposition of the project information. In this process, it is required that open and clear communication should prevail among the planners, implementers along with all levels of the organisation. this will help in completing the project work successfully. Apart from this, project communication management should also consists of methods and techniques. This will help in building trust in the relationship among the team members. It will also help in propagating desirable personal behaviour and clear communication rules.

The new employees who will be coming to join AgNova in Australia must be aware of the significance of the communication so that they bring success to the organisation by fulfilling the organisational objectives. However, in the process of understanding the importance of the communication practices, it would be valuable that the employees who are coming from the oversees must be able to differentiate between competent and incompetent communication behaviours.

Competent communication behaviour will help in developing good relationships with other employees. People with competent communication skill give respect to others and their feelings (Beh and Loo, 2013). It is essential that the new employees of Agnova must have the ability to listen to others. This will help in understanding the point of view of others and henceforth will also help them to take strategic decisions. The next essential recommendation that would be in favour of competent communication is that the employees should participate in group discussions and should learn to put forward their views logically so that others are able to understand. This will help them in taking part in the decision-making process. On the other hand, incompetent communication skill is the one that results in ruining of the situation. People are not able to put forward their views effectively. This, in turn, will lead the organisation to face loss. As during the process of negotiation, the employees will not be able to put forward the facts that will bring profit to the organisation. In addition to this, by using harsh language, they will give rise to conflicts that will further complicate the situations. Thus, all these are the signs of incompetent communication and the employees coming to Australia must avoid getting indulged into conflicts owing to incompetent communication

Communication is very vital from the perspective of the organisation. Internal communication helps in the development of a good relationship between the employer and the employees. It helps in the formation of a conducive environment such that the workforce is able to improve their potentialities and help the organisation expand its business efficiently. This, in turn, will help the organisation to gain success by making them achieve their objectives. In this entire process, it is crucial that the employees of an organisation should know the difference between competent and incompetent communication. Employees with their communication skills will help the organisation to win the negotiation. This is very crucial from the perspective of achieving sustainability in the organisational processes.
